Our flagship initiative, the Coaching Collaborative, democratizes access to professional coaching for individuals who need it most, specifically displaced workers affected by workforce reductions and transitions.

    Since launching in 2025, we've connected thousands of workers—including scientists, humanitarians, veterans, public servants, and social impact leaders—with accredited coaches and professional development resources to help them navigate uncertainty and find new opportunities. We're scaling existing efforts and launching new partnerships and programs, including a public service incubator, a cohort-based career navigator program, a coach membership program, and global communities of changemakers dedicated to learning, healing, service, and action.

    Position Overview

    Grounded Idealist seeks a Program Assistant to support our growing operations, communications, and program functions. This role is ideal for a mission-driven professional with at least 2-3 years of relevant experience who is eager to contribute to nonprofit management, communications, community engagement, and operational processes within a fast-paced, social impact-focused environment.

    The Program Assistant will work closely with the Grounded Idealist program team to maintain internal systems, manage community communications, support partnership development, and contribute to grant writing and fundraising efforts.

    Key Responsibilities

    Operations & Data Management

    • Develop and implement operational best practices and SOPs to support a growing organization, including documentation of processes and workflows

    • Support in the implementation and tracking of project plans and support project coordination

    • Assist in the maintenance of internal systems and databases, including tracking participant registrations, supporting the coach and client matchmaking process, and updating event trackers

    • Generate routine reports and conduct basic data analysis to support program evaluation and decision-making

    • Ensure accuracy, consistency, and organization of program and participant data across the organization’s data management tools 

    Program and Community Management

    • Coordinate logistics for virtual workshops, meetings, and webinars, including scheduling, sending reminders, and managing RSVPs

    • Support management and engagement with virtual learning communities through existing community management platforms

    • Facilitate community engagement activities and maintain connections with program participants, coaches, and partners

    • Support post-event follow-up, including survey distribution, data compilation, and impact reporting

    • Respond to community inquiries and provide excellent customer service

    Communications Support

    • Monitor and manage the organization's email inbox and respond to inquiries in a timely, professional manner

    • Develop, schedule, and distribute newsletters, announcements, and program updates via email marketing platforms

    • Draft and publish social media content, blog posts, and other external communications to engage stakeholders and build community awareness

    • Maintain brand consistency across all communications channels

    Grant and Fundraising Support

    • Research potential grant opportunities and aligned funders

    • Support grant application processes, including drafting narratives, organizing attachments, maintaining submission trackers, and ensuring compliance with funder requirements

    • Assist with donor communications and acknowledgments

    • Contribute to fundraising campaigns and initiatives as needed

    Special Projects

    • Contribute to research, outreach, and program development projects to support Grounded Idealist's growth and impact

    • Assist with strategic planning initiatives and organizational development efforts as needed

    Required Qualifications

    • Bachelor's degree in education, international development, social work, nonprofit management, communications, or a related field

    • At least 2-3 years of relevant professional experience in nonprofit or business operations, program coordination, communications, or related roles

    • US work authorization (US citizenship or valid work authorization required; visa sponsorship not available at this time)

    • Strong written and verbal communication skills with demonstrated ability to write clearly and persuasively

    • Excellent attention to detail and organizational skills with ability to manage multiple priorities simultaneously

    • Proficiency with Google Workspace (Docs, Sheets, Forms, Drive), virtual learning tools (Miro, Menti, Padlet, Circle, Zoom, etc), and demonstrated ability to new digital tools

    • Ability to work independently in a remote environment while maintaining strong collaboration with team members

    • Demonstrated commitment to social impact, equity, and mission-driven work

    Preferred Qualifications

    • Experience in workforce development, training, public service, coaching, career services, or related fields

    • Grant writing or grant research experience

    • Data analysis skills and proficiency with tools like Airtable, Excel, or data visualization platforms

    • Experience with CRMs and email marketing platforms (e.g., BeeHiiv, Kit)

    • Experience with community management, customer service, or stakeholder engagement

    • Familiarity with virtual event coordination tools (Zoom, Eventbrite, etc.)

    • Basic graphic design skills using Canva or Adobe Creative Suite

    • Experience with social media management and digital content creation

    • Knowledge of nonprofit fundraising and development best practices

    • Location in or familiarity with the Washington, DC area
