Location: Remote (Washington, DC area preferred)
Position Type: Full-time, Salaried with benefits
Schedule: 4-day / 32-36 hours per workweek (Monday–Thursday)
Salary: $55,000 annually

Our flagship initiative, the Coaching Collaborative, democratizes access to professional coaching for individuals who need it most, specifically displaced workers affected by workforce reductions and transitions.
Since launching in 2025, we've connected thousands of workers—including scientists, humanitarians, veterans, public servants, and social impact leaders—with accredited coaches and professional development resources to help them navigate uncertainty and find new opportunities. We're scaling existing efforts and launching new partnerships and programs, including a public service incubator, a cohort-based career navigator program, a coach membership program, and global communities of changemakers dedicated to learning, healing, service, and action.
Position Overview
Grounded Idealist seeks a Program Assistant to support our growing operations, communications, and program functions. This role is ideal for a mission-driven professional with at least 2-3 years of relevant experience who is eager to contribute to nonprofit management, communications, community engagement, and operational processes within a fast-paced, social impact-focused environment.
The Program Assistant will work closely with the Grounded Idealist program team to maintain internal systems, manage community communications, support partnership development, and contribute to grant writing and fundraising efforts.
Key Responsibilities
Operations & Data Management
Develop and implement operational best practices and SOPs to support a growing organization, including documentation of processes and workflows
Support in the implementation and tracking of project plans and support project coordination
Assist in the maintenance of internal systems and databases, including tracking participant registrations, supporting the coach and client matchmaking process, and updating event trackers
Generate routine reports and conduct basic data analysis to support program evaluation and decision-making
Ensure accuracy, consistency, and organization of program and participant data across the organization’s data management tools
Program and Community Management
Coordinate logistics for virtual workshops, meetings, and webinars, including scheduling, sending reminders, and managing RSVPs
Support management and engagement with virtual learning communities through existing community management platforms
Facilitate community engagement activities and maintain connections with program participants, coaches, and partners
Support post-event follow-up, including survey distribution, data compilation, and impact reporting
Respond to community inquiries and provide excellent customer service
Communications Support
Monitor and manage the organization's email inbox and respond to inquiries in a timely, professional manner
Develop, schedule, and distribute newsletters, announcements, and program updates via email marketing platforms
Draft and publish social media content, blog posts, and other external communications to engage stakeholders and build community awareness
Maintain brand consistency across all communications channels
Grant and Fundraising Support
Research potential grant opportunities and aligned funders
Support grant application processes, including drafting narratives, organizing attachments, maintaining submission trackers, and ensuring compliance with funder requirements
Assist with donor communications and acknowledgments
Contribute to fundraising campaigns and initiatives as needed
Special Projects
Contribute to research, outreach, and program development projects to support Grounded Idealist's growth and impact
Assist with strategic planning initiatives and organizational development efforts as needed
Required Qualifications
Bachelor's degree in education, international development, social work, nonprofit management, communications, or a related field
At least 2-3 years of relevant professional experience in nonprofit or business operations, program coordination, communications, or related roles
US work authorization (US citizenship or valid work authorization required; visa sponsorship not available at this time)
Strong written and verbal communication skills with demonstrated ability to write clearly and persuasively
Excellent attention to detail and organizational skills with ability to manage multiple priorities simultaneously
Proficiency with Google Workspace (Docs, Sheets, Forms, Drive), virtual learning tools (Miro, Menti, Padlet, Circle, Zoom, etc), and demonstrated ability to new digital tools
Ability to work independently in a remote environment while maintaining strong collaboration with team members
Demonstrated commitment to social impact, equity, and mission-driven work
Preferred Qualifications
Experience in workforce development, training, public service, coaching, career services, or related fields
Grant writing or grant research experience
Data analysis skills and proficiency with tools like Airtable, Excel, or data visualization platforms
Experience with CRMs and email marketing platforms (e.g., BeeHiiv, Kit)
Experience with community management, customer service, or stakeholder engagement
Familiarity with virtual event coordination tools (Zoom, Eventbrite, etc.)
Basic graphic design skills using Canva or Adobe Creative Suite
Experience with social media management and digital content creation
Knowledge of nonprofit fundraising and development best practices
Location in or familiarity with the Washington, DC area

Position Overview
Grounded Idealist seeks a Communications & Storytelling Support Intern to support our growing operations and communications functions. This role is ideal for a mission-driven student or early-career professional eager to gain hands-on experience in nonprofit marketing, digital communications, multimedia content creation, and audience growth within a fast-paced, social impact-focused environment.
The intern will work closely with the Grounded Idealist team to expand our digital presence, strengthen our brand voice, and support engagement across platforms, while also contributing to communications strategy and content development. This role will also support the creation and editing of audio and video content, including short-form videos, event recordings, and storytelling assets used across social media and marketing channels.
Key Responsibilities
Communications & Storytelling Support:
Plan, draft, and schedule engaging content across social media platforms (LinkedIn, Instagram, etc.) to increase visibility, engagement, and audience growth.
Design and edit visual content (graphics, carousels, newsletters, and multimedia content including video and audio assets) using tools like Canva and basic audio/video editing tools (e.g., CapCut, Adobe Premiere Rush, Audacity, or similar) to maintain a consistent and compelling brand identity.
Support the development and distribution of newsletters, announcements, and program updates via email marketing platforms.
Monitor and manage the organization’s email inbox and help respond to inquiries.
Track and analyze social media and email performance metrics to inform content strategy and improve engagement.
Assist in drafting blog posts, storytelling content, and impact highlights to showcase community success.
Create, edit, and repurpose video and audio content (e.g., workshop clips, interviews, testimonials, podcasts, and short-form videos) for use across marketing channels.
Brand & Content Development
Help refine and maintain Grounded Idealist’s brand voice and messaging across all channels.
Contribute ideas for campaigns, content series, and storytelling initiatives to grow awareness and engagement.
Support development of marketing materials such as one-pagers, presentations, and promotional assets.
Collaborate on multimedia storytelling, including scripting, audio editing, video production, and content theme development.
Operations & Data Management:
Assist in maintaining internal systems and databases, including tracking participant engagement and communication metrics.
Support organization of marketing and communications assets (including video and audio content libraries).
Assist in documenting workflows and best practices related to communications and outreach.
Program and Event Promotion:
Help coordinate logistics for virtual workshops, meetings, and webinars, including sending reminders and managing RSVPs.
Promote events through social media, email campaigns, and outreach efforts to increase attendance and engagement.
Support post-event follow-up, including survey distribution and data compilation.
Assist in editing event recordings (audio and video) into highlight reels, clips, or podcast-style content for promotion and recap.
Partnerships & Growth Support
Support outreach efforts to potential partners, collaborators, and aligned organizations to expand visibility.
Assist in identifying opportunities to grow the organization’s audience and community reach.
Special Projects:
Contribute to research, outreach, and program development projects as needed to support Grounded Idealist’s growing community.
Support ad hoc multimedia projects, including audio production and video creation, tied to campaigns, partnerships, or program launches.
Ideal Candidate Qualities
Strong written and verbal communication skills.
Interest in strategic communications, branding, social media strategy, or digital storytelling.
Excellent attention to detail and organizational skills.
Adaptable and comfortable working in a dynamic, startup nonprofit environment.
Experience with audio and video editing, including creating short-form videos, editing recordings, or producing multimedia content.
Familiarity with basic audio/video editing tools (e.g., CapCut, Audacity, Adobe Premiere Rush, or similar) is a plus.
Experience with or interest in workforce development, coaching, social impact, or nonprofit management.
Proficiency with Google Workspace (Docs, Sheets, Forms) and comfort learning new digital tools.
Ability to work independently and manage multiple priorities.
Additional Skills That Would Be Beneficial
Experience with community engagement or customer-facing communication.
